TITLE

The Mayor and City Council shall discuss and possibly take action to approve an amendment to the Sales Order with SmartGov to allow more users.  Funding for this amendment in an amount not to exceed $11,300 will be drawn from General Fund, Building Safety, Technical (10044142-53340).  Discussion and Action.

 

AGENDA ITEM DESCRIPTION

On November 5, 2014, the City Council approved an agreement with SmartGov which included a sales order for 10 users.  With the enormous success of the SmartGov software, it is necessary to expand our contract to include new users from time to time.  Our current sales order includes 10 users and the new sales order includes 35 full-time users and unlimited view-only users.   These additional users will be subject to the same Master Agreement as the current 10 users.

 

Over the past year we have included Planning, Engineering, Fire, and Business Licenses into SmartGov.  Over the next year we are planning to add Special Events, Economic Development and outside agencies such as the County, Electrical District No. 3, Global Water, and others.

 

The existing contract is for $20,685.00 plus applicable tax, and the updated contract is for $29,725.00 plus applicable tax of $2,259.10 for a total of $31, 984.10.  All costs have been accounted for in the FY2016-2017 budget.  This price is guaranteed through the FY2017-2018 budget.

STAFF RECOMMENDATION

Staff recommends that the Mayor and City Council approve the amendment to the Sales Order with SmartGov.  Funding for this amendment in an amount not to exceed $11,300 will be drawn from General Fund, Building Safety, Technical (10044142-53340).
